Job summary

Could you be our new Facilities Management Operations Officer? Are you interested in a varied job? This role, acting as the lead for Facilities Management on site while supporting the wider team could be what you are looking for.

Defra Group Estates is responsible for providing fit for purpose and value-added estates and Facilities Management services to the Defra Group Network, particularly as government works towards ‘One Public Estate’.

Job description

This role provides a comprehensive, efficient and effective range of facilities services. It is within the Facilities Management team and provides support to our local site-based customers, and the wider property portfolio team to meet our corporate and environmental goals. It is a site-based role which we need to provide cover in the office from 08:30am to 5:00pm Monday to Friday. The successful candidate will be based at the Templeborough Office (S60 1BY), which is part of the Sheffield Hub. The role also requires regular travel to other sites which include Quadrant 2 Sheffield and Rockingham Barnsley (potentially two site visits may be required per week). A driving licence is therefore required. 

Please note that this role has been identified as being ‘in scope’ to transfer to a private sector company called ISS, by law, in accordance with the Transfer of Undertakings (Protection of Employment) Regulations (known as TUPE). This means that if you are successful and choose to accept this role, you will TUPE transfer to ISS early next year. We are currently consulting with trade unions in respect of the anticipated transfer. More information will be provided if your application is successful and once you join.

Key Responsibilities:

This is a challenging role with priorities and tasks changing daily so the post holder will need to be highly motivated and able to organise their time/workload to achieve the outcomes required.

The post holder will be required to:

  • Act as an initial point of contact for the team, communicating and filtering information so that advice and support is delivered accurately and standards and priorities are met
  • Develop and maintain a strong customer focus to enable effective working relationships and partnerships to support environmental goals and maintain a positive reputation
  • Check compliance with environmental, health, safety and legislative standards and service levels through inspection, monitoring and survey work, in order to carry out and support the business plan and environmental outcomes
  • Carry out delegated Site Responsible Officer tasks at specific properties as agreed with the Site Responsible Officer
  • Provide a timely and accurate administrative support service to the line manager / team, ensuring efficient systems are in place to maximise the effective use of line manager’s / team’s time
  • Organise, maintain and develop information storage and retrieval systems and ensure that information is up to date and readily accessible to facilitate departmental workflow
  • Participate in the development of teamwork plans and deliver any agreed actions effectively, to contribute to business planning and delivery

Person specification

Previous experience essential to the role:

  • A Customer Service, Reception or Facilities Management related role
  • Delivery of core Facilities Management support services including provision of postal, reception services and meeting room bookings, managing ordering, stock maintenance and purchase of office supplies, and stationery
  • IT skills (Microsoft Office). The job holder will have to learn in-house systems
  • Building relationships with customers to develop and maintain a positive reputation, service delivery and effective resolution of issues
  • Maintaining good relationships with contractors, suppliers and other stakeholders
  • Supporting local project management
  • Providing a Helpdesk service to customers

Location

Please be aware that this role(s) will be contractually based in a Defra group workplace/office, Templeborough Office (S60 1BY).  With travel requirement to other buildings in the Sheffield Hub portfolio. The successful candidate is required to carry out all their duties from a UK location, and cannot do so from an overseas location at any time.

Reserve List

A reserve list may be held for a period of 12 months from which further appointments can be made.

Salary

New entrants to the Civil Service are expected to start on the minimum of the pay band. The internal roles rules apply to existing Civil Servants, i.e. level transfers move on current salary or the pay range minimum, transfers on promotion move to new pay range minimum or receive 10% increase. Either case is determined by whichever is the highest.
