Job description

This is a demanding and varied position that would suit a highly motivated individual with a strong interest in facilities management.

The successful candidate will be involved in the day to day running of facilities in the VCA offices, working closely with the Estates, Health & Safety Manager to ensure the appropriateness, quality and safety of the work environment. The post holder will also provide administrative support to other work streams that sit within the wider team. This is a high-profile role which offers a good mix of desk based and practical activities along with regular staff and contractor interactions that would appeal to a proactive, dynamic and ambitious individual.

Excellent communication, planning, organisational and time management skills are essential as the successful individual will often be required to carry out instructions to specific deadlines.

Your main duties will include but will not be limited to:

  • Provide proactive support in delivering a wide range of onsite facilities functions to deliver a high quality, efficient and safe work environment for all internal and external customers, contractors and visitors.
  • Take responsibility for day-to-day buildings maintenance, providing practical support where appropriate and ensuring legislative compliance through pre planned maintenance systems, inspections and basic testing.
  • Coordinating and overseeing estates service contracts and on site works, ensuring value for money is achieved.
  • Organising the supply of stationary and other office consumables to meet demands.
  • The ongoing maintenance and upkeep of the agencies pool car fleet and relevant documentation.
  • Business support administration including data gathering and inputting.
  • Mail management duties, data gathering and inputting.
  • Reception and escorting duties.
  • Any other reasonable duties as directed by the Estates and Health & Safety Manager.
  • Produce Comms article for VCA’s intranet page on Estate updates.
  • Support Manager with any further supporting workload.

Person specification

About You

We are looking for an individual with the below experience:

  • A good level of computer literacy and experience of Microsoft Office applications and tailored systems including Excel, Word and PowerPoint.
  • Excellent organisational and administrative skills.
  • Ability to prioritise conflicting tasks whilst working to tight deadlines.
  • Excellent communication skills with a good telephone manner.
  • A good understanding of, and strong commitment to delivering high quality Customer Service.
  • Must be flexible, open to change, keen to improve and to learn new skills.
  • Full UK Driving License.
  • Willingness to travel to VCA’s UK sites, as and when needed, to provide Estate Support.

Additional Information

A minimum of 40% of your working time should be spent at your principal workplace.

Occasional travel across the UK to visit VCA sites to support the wider team.

Must complete in-house qualifications for First Aid and Fire Marshall.
