Overview

The MoJ Property Directorate is a customer focused organisation that exists to enable our customers to perform to their very best.  We do this by providing high quality, easy to use services, and working environments that our customers want to work in, which support them to deliver their individual outputs efficiently.  Our job is to manage one of the most diverse and complex estates in Government – hosted by the Ministry of Justice (MoJ).  The MoJ Property Directorate brings together a property portfolio including Prisons, Probation, and MoJ HQ and Arm’s Length Bodies.  We also provide property services on behalf of the Home Office.

MoJ Property provides specialist services including facilities management, health and safety, fire safety and security, technical design expertise, and sustainability.  We also have business management teams who support the entire Directorate and each of our partners is supported by account management teams.  We are responsible for a great deal – our portfolio consists of properties valued at £8.5bn for the MoJ alone.  We are part of the Government Property Profession (GPP) and through active membership and engagement we will work with the Office of Government Property to develop the maturity of the profession and also encourage our people to join the GPP. We continue to build our capability through training and recruitment, aspiring to be the best that we can be as individuals and as a directorate.

We continue to deliver new ways of working across our portfolio – leading on the scale and pace of activity for central government – proposing ways to achieve, and then providing more dynamic and flexible workspace, while driving down the cost of the estate.

Team Overview

The Stakeholder Engagement and Communications Team (SE&C) sits in the Property Transformation Programme, which is part of the MOJ Property Directorate. It is responsible for engaging and communicating with a wide range of stakeholders across the MOJ, Home Office, Arms-Length Bodies and other government departments affected by PTP. The team leads the Stakeholder Engagement Working Group to ensure all groups are consulted, listened to and their views heard by PTP at all stages of the programme, as well as identifying opportunities for the programme to attend engagement sessions across these groups. The team is also responsible for developing and producing communications for all stakeholder audiences, across a range of channels including newsletters, intranet articles and blogs.

The Stakeholder Engagement and Communications Lead will be managed by the SEO SE&C Manager.

Job Description, Duties and Responsibilities

Responsibilities will include the following:

  • Providing general support to the SE&C team including around stakeholder events and communications.
  • Updating SE&C calendar/stakeholder maps/Distribution lists
  • Ensuring communications templates are updated and distributed to teams each month for completion.
  • Collating and completing the templates with SE&C manager
  • Secretariat for the Stakeholder Engagement Working Group – Slide decks/ agenda/recording actions/ distributing info after each meeting
  • Arranging other key meetings, booking rooms, sending invites, agenda etc.
  • Contributing to PTP information gathering including updating slides, activity spreadsheets and content for the All Colleague Calls.
  • Manage and organise the shared inbox
  • Keep the Property Directorate SharePoint updated/organised with all docs we choose to share.
  • Keep PTP Teams SharePoint organised and up to date, ensure all important docs and templates are stored in the right folders.
  • Store and update process maps
  • Draft Wellbeing messages for All Colleague calls
  • Play an active role in promoting and encouraging staff engagement and using innovative ways to collect staff feedback to improve services.

Skills and Experience

 Essential

  • Excellent written and verbal communication skills, particularly drafting, presentation and facilitation skills
  • Experience of engaging and sustaining key relationships with senior stakeholders and of handling sensitive / restricted information appropriately
  • Excellent analytical skills to interpret and present complex data to a range of audiences
  • Excellent customer service skills
  • Attention to detail and proof-reading skills and ability to raise questions when unsure in order to provide the best possible output.
  • Proficient in Microsoft suite, including Word, Excel, PowerPoint, Teams

 Highly Desirable

  • Ability to work with minimal supervision, taking responsibility for outcomes
  • Awareness of Government Property Profession and Functional Standards

Hybrid Working
