About the role

The Information Management Service delivers practical, compliant policies, standards, and solutions to help ICO staff manage information easily.

The purpose of this post is to ensure that effective processes are in place to manage the life cycle of ICO’s records and information from creation or receipt to disposal or transfer to the National Archives for permanent preservation. This will enable ICO to meet its obligations under the Public Records Act, the records management guidance set out in the Code of Practice issued under s46 of the Freedom of Information Act and the Data Protection Act. This will include monitoring compliance with information management policies and UK GDPR requirements.

 

The post holder will promote and champion the information management agenda and contribute to the ICO’s work on accountability to ensure that ICO can maximise the business benefits derived from implementing robust information management practices , and can demonstrate its compliance as a controller  and a public authority with the legislation it enforces. 

Job description

Key Responsibilities

  • Draft corporate information management policies and standards to ensure the effective management of all ICO’s information whether held electronically or on paper
  • Effectively communicate information management policies to staff and suppliers using a variety of media, including the provision of information governance training
  • Provide information management advice and support to the Information Asset Owners including advice relating to the retention and disposal of records, access control and other records management protocols
  • Establish an audit timetable and carry out regular checks to ensure that information management policies are being adhered to and take action to address any deficiencies
  • Take the lead role in liaison with the National Archives to ensure there is a process in place relating to records which require permanent preservation, and which results in successful annual transfers
  • Work with digital platform managers to ensure the effective implementation of information management policies and guidance
  • Monitor the processes in place to ensure the effective management of legacy paper files through to digitisation
  • Lead the Local Information Management Officer Forum meetings to foster strong local support and promotion of information management activity
  • Contribute to the Data Protection Impact Assessment Process, providing guidance and support to areas of the business in assessing high risk processing.
  • Provide information management and compliance input as required in any initiatives where there are changes to our IT systems or business processes.
  • Undertake compliance tasks as required including updating our global privacy notice and records of processing activities
  • Working as part of small information management team and within the wider information security and IT function, provide input to development and reviews of strategies and business plans and participate in cross office groups and initiatives when required.

Person specification

About you

 

  • Experience relevant to the role requirements, as described in the role responsibilities and person specification, and accumulated through any combination of academic or vocational qualifications or experience.
  • At least 2 years relevant work experience
  • Awareness of and practical experience of applying the records management requirements of relevant legislation e.g. Public Records Act, Data Protection Act, UK GDPR and the Freedom of Information Act
  • Excellent written skills e.g. to draft clear policy documents and information management awareness messages
  • Excellent verbal communication skills with the ability to train and provide briefings to small groups
  • Influential, able to motivate others and generate interest in effective information management
  • Strong planning and organisational skills to deal with demanding workloads
  • Ability to work collaboratively and build and maintain good working relationships at all levels within ICO and with external suppliers
  • Good level of IT competency including experience of EDRMS functionality SharePoint Online experience is an advantage
  • Demonstrate drive and tenacity to deliver high quality outcomes
Alongside your salary of £31,689, Information Commissioner’s Office contributes
£8,556 towards you being a member of the Civil Service Defined Benefit Pension scheme.
