We will consider applications from people able to access the following offices: Birmingham, Bristol, Leeds, London, Newcastle and Sheffield. Hybrid Working is available to GIAA colleagues. This means a combination of office working and working from home. This includes time spent in our GIAA office locations and can also include any time spent attending our customers’ sites. GIAA colleagues are expected to work in an office location for two days a week on average (40%). Naturally, this expectation will be applied on a pro-rata basis for people who have a part-time or compressed hours working pattern. We are a customer-facing and a social organisation. Interacting in person with our customers and with one another benefits both our work and our wellbeing. Office working is not restricted to the office nearest to your home. Hybrid Working is an enabler so we encourage colleagues to manage their own office working arrangements, choosing the most appropriate office location for your needs, which may well be your customer’s office. We are an executive agency of His Majesty’s Treasury (HM Treasury), established in April 2015 to improve the quality of internal audit provided to central government.

Most of the Agency’s people are professionally qualified internal auditors, accountants or investigators.

Many are also specialists in areas including counter fraud, project management, digital and commercial audit.

We lead both the Government Internal Audit Profession and the Government Internal Audit Function.

Job description

This is an exciting opportunity to join audit teams that provide internal audit services across the Ministry of Justice (MoJ) or Department for Work and Pensions (DWP). The teams undertake a wide range of audit and assurance activity across a varied portfolio.

Your role will be to provide support to the Group Chief Internal Auditor (GCIA), the Senior Management Team, plus the network of Heads of Internal Audit across the MoJ or DWP Internal Audit team.

 The role will provide a proactive and effective support service covering a range of duties related to the operation of the team, including supporting audit committee reporting, resource management, action tracking and analysis/reporting of key information. The role is separate but complementary to the Executive Assistant roles which are more closely related to individual Senior Civil Servants. Line and task management will be from an Audit Manager with a reporting line to the GCIA.

Annual Audit Planning

  • Supports the Group Chief Internal Auditor (GCIA), G6’s and G7 support lead in the collation of template Planning spreadsheets.
  • Monitors timelines and completes tasks as assigned by the MoJ GCIA.
  • Maintains oversight of the completion of customer memorandums of understanding, fee letters and charters across the 20+ customers covered by the team and ensure they are sent to the Professional Practice team.

Audit Committee Reporting Support

  • Manages Audit Committee timetables.
  • Collates returns into the template.
  • Updates all management information in Committee reports on delivery, recommendations and other key information.
  • Liaises with Audit Managers on any discrepancies.
  • Tracks overdue recommendations to enable audit teams to follow up and accurately report to the Audit Committee.
  • Monitors issue of final reports and ensures there are relevant entries for Audit Committee reports.
  • Uses Change Requests to record amendments.
  • Collates information on planned delivery to report on variances to Audit Committees.

Management Information (MI) – analysis and presentation

  • Runs and distributes MI reports.
  • Analyses delivery reports, highlights discrepancies and requests action from audit managers/auditors to rectify these, ensuring accuracy and integrity of team delivery data.
  • Runs and distributes reports on outstanding recommendations, particularly ahead of Audit Committees, but also ad-hoc on request.
  • Maintains oversight of Programme Change Requests.
  • Works with the GCIA to monitor staff in post figures.

Resource Management

  • Manages resource allocations on GIAA systems.
  • Monitors audit progress against MI and reported performance.

Ad Hoc/Other tasks

  • Maintains distribution lists.
  • Maintains effective audit team records ensuring information is protectively marked and stored as policy.
  • Records manager – responsibility for maintenance of allocated folders and contents in line with agreed standards and policies.

Person specification

  • Strong organisational skills
  • Ability to prioritise and manage multiple demands to defined deadlines
  • Good working knowledge of IT systems including Word, Excel and PowerPoint
  • Strong communication and influencing skills
  • Good analytical skills with the ability to draw conclusions from data

Eligibility Statement:

Individuals appointed to the Treasury Group will be subject to National Security Vetting.
