About the role
The SME Service Hub provides a range of services for small businesses in the UK. We work in Business Services with colleagues who give advice about information rights legislation, manage our registers and deal with personal data breach reports.
This role supports the department by developing, implementing, maintaining, and improving administrative support across the work of the Department. It will involve working independently and as part of the team, engaging across the office and externally.
This is a developmental role and in the first 18 months the candidate will undertake the Level 3 Business Administrator apprenticeship course which combines on the job training and experience with externally provided training. This means that the candidate will learn and train with hands-on experience in the job but will study for at least 20% of their working hours.
The role is a good opportunity to gain experience across a wide range of different, but related, areas of work; building a good understanding of how organisations are managed and developing a highly transferable set of knowledge, skills and behaviours that can be applied in all sectors.

Key Responsibilities
- To provide administrative support to the Business Services Department; such as managing diaries, setting up and minuting meetings, collating, and analysing data, and keeping records up to date.
- To monitor mailboxes and respond to enquiries clearly, accurately and in a timely manner; taking ownership of issues raised (in consultation with colleagues) and ensuring they are followed up on.
- Initially with guidance, to develop new, and improve existing, administrative processes to collate information in a useable form, allowing it to inform reports and decisions, eg performance data.
- Initially with guidance, to undertake research into potential engagement opportunities (making use of the internet and knowledge of ICO colleagues); identifying those which would be suitable for the ICO and summarising this information for use by the Senior Engagement and Policy Officers.
- To support delivery of new methods of reaching organisations who are not currently engaged with the ICO.
- To provide administrative support for colleagues within the Department, as well as external customers where appropriate.
- To undertake such other duties that are required and are commensurate with the role of the post.
- To successfully complete the Level 3 Business Administrator apprenticeship course, attending external training and gaining complementary knowledge and experience from working in this role.
Person Specification
- Good standard of literacy and written communication skills; ability to respond to and draft written communications of a professional standard.
- Effective oral communication skills, for example in presenting information to others; formally via presentations and in one-to-one conversations.
- Ability to work on own initiative and as a member of a team, delivering high standards of quality and service within the framework of the role and with
- reference to strategic goals and objectives.
- Ability to follow instructions and procedures to deliver accurate and consistent outcomes.
- Ability to develop knowledge and understanding across the range of work involved in the role so that they can contribute effectively and efficiently to the work of the Department.
- Effective organisational skills, being able to prioritise to meet demanding workloads, raising resource conflicts with line managers, and presenting ideas as to how these conflicts can be met.
- Ability to be proactive, flexible, and responsive to the needs of a fast-paced department.
- Ability to use standard office IT packages including spreadsheets along with accurate data inputting skills and attention to detail.
Education and Qualifications
Experience relevant to the role requirements, as described in the role responsibilities and person specification, and accumulated through any combination of academic or vocational qualifications or experience.
An apprenticeship programme must provide you with substantive new skills and learning therefore any qualifications previously held or currently being worked towards must differ in content. Individuals who hold or who are working towards a similar qualification of the same level or higher i.e. Level 3 or above in Business Administration/Management will not be eligible to apply.
