It is the responsibility of the Information and Technology Services (ITS) Division to ensure that everyone in the organisation can access our data and information, to share it and to use it to make effective decisions. We support over 3000 colleagues working in a hybrid style at home and in 26 offices across Great Britain. Our services keep inspectors functioning effectively and efficiently on industrial sites nationwide, from oil platforms in the North Sea to our deepest mines and quarries.

Job description
As a UK regulator, HSE collects, processes, and produces a huge amount of information relating to our regulatory activities and we have legal obligations as a government department to ensure that we are managing this information in accordance with our statutory obligations and can be both accountable and transparent in our decision making.
An exciting opportunity is available for a Band 4 (HEO) M365 Information Governance Manager within our Information and Technology Services (ITS) team. The post holder will be responsible for managing the governance of HSEs M365 information estate including architecture, compliance, data discovery, configuration and change, permission management, administration of M365 Groups and building capability across the organisation.
The role will support HSEs strategic direction for data and information management, providing a centre of expertise and control in HSE and will provide advice and support on all aspects of information management and governance supported by a programme of training and development to improve MS365 skills across the organisation.
The post holder will have the opportunity to engage with a wide range of colleagues within HSE and requires a high standard of communication, problem solving, technical knowledge and skills, as well as being flexible & pragmatic.
Key Responsibilities
The post needs a motivated individual with experience of working in a customer focused environment with proven M365 technical skills and experience of applying effective information management solutions in this environment. You will need to be a team player who can establish productive and collaborative working relationships across Divisions and other external stakeholders.
You will support the modernisation and delivery of an information management service including (but not limited to);
- Building capability within the team to develop knowledge and skills of effective knowledge and information management in Microsoft O365 products
- Develop and deliver a data discovery service using MS365 eDiscovery tools to respond to information disclosure requests (e.g. FOI, GDPR)
- Actively engage with KIM professionals across government and other stakeholders to develop own knowledge and advise and support HSE on emerging issues and trends
- Assist in the development of policies and procedures required to support HSEs compliance with information management legislation (e.g. Public Records Act) Provide support to HSE staff through training, communications and proactive engagement
- Develop and manage the MS365 information architecture plan and information management design including structure, navigation, security metadata, classification and lifecycle management.
- Support IMTs compliance management function for both SharePoint Online (SPOL) and MS Teams providing performance data and undertaking checks to provide assurance that policies and procedures are being adhered and aligned to align with HSEs corporate governance framework.
- Establish and manage an organisational network of SPOL administrators who will have responsibility for ongoing management of content and grant appropriate access/permissions on behalf of their division in accordance with agreed policies and procedures, providing guidance and support on managing information

Person specification
You will be an experienced and capable MS365 professional with a proven track record in developing, managing and applying governance across all M365 products including SharePoint. Youll be adept at handling change, including changing requirements in functionality as well as functionality provided by add-ons, apps, and integrations. You will have experience in MS compliance functionality (MS PurView) to produce custom reports based on colleagues needs, monitor compliance with policies and procedures and provide assurances to senior leaders. You will also keep up to date with developments in MS365 and consider how they may add value and benefit HSE. You are considered an expert by your colleagues and are happy to share your knowledge with others and have excellent communication skills (both written and verbal).
Essential:
- Experience of managing and supporting M365 applications and environments
- Demonstrable experience of MS365 information architecture and configuration to be able to advice and support the organisation on best practice and meet specified requirements.
- Demonstrable experience of MS compliance and eDiscovery tools
- Experience of knowledge and information management
- Excellent planning and organisational skills with the ability to problem solve and prioritise workloads
- Ability to communicate effectively both verbally and in writing with a wide range of internal and external stakeholders
- Provide guidance, training (including the development of training materials), and support to departments and users for document management, permission management, and the effective use of SharePoint and M365 collaboration applications
- Work with the Technical Operations teams to improve ways of working in the organisation using Microsoft 365 solutions such as Microsoft Teams, Microsoft Power Automate, Lists, SharePoint and other Microsoft applications
