It’s a role that will see you operate at the very heart of our organisation – working closely with Board Members and our senior leadership team to ensure that highly efficient governance and secretariat support underpins effective decision-making. You’ll provide administrative support to Corporate Board meetings and enforcement case meetings, to ensure they run smoothly – preparing board packs in advance and ensuring that actions and minutes are recorded and followed-up.

As well as your meticulous organisational skills it’s important that you have excellent communication skills, in writing and in person. You should be proficient in the use of Excel to collate, co-ordinate and present data, alongside a good working knowledge of other key tools such as MS Teams, Outlook and Word. You’ll be someone who thrives in a busy working environment, who can keep track of multiple tasks while meeting agreed deadlines, and who responds well to periods of high demand on your time when supporting key meetings. Previous experience of working in Governance, Risk or Assurance would be beneficial, but isn’t considered an essential requirement of the role.

Job description

This is an exciting and challenging role that sits at the heart of Ofgem. The Governance & Secretariat Team (GST) is part of the General Counsel and we are responsible for supporting Ofgem Boards and Committees.

 

Working closely with Ofgem’s Board members and Senior Leadership Team, you’ll have exposure to the workings of a regulatory body which has a crucial role in making sure that energy markets work in the interest of consumers, both now and in the future.

Key Responsibilities

 

  • A high profile role responsible for supporting the day to day duties of a complex fast paced Secretariat function, providing support to Ofgem’s Board, its Committees and Executive Leadership.
  • Responsible for providing administrative support to management to organise the Corporate Board meetings and enforcement case meetings, to ensure they run smoothly.
  • Providing administrative support to ensure our Non-Executive Directors are supported in their roles and redirecting queries to appropriate colleagues.
  • Providing support on preparing board packs and assisting in the administration of outputs from board meetings such as minutes and actions.
  • Providing support to the manager to ensure the high volume, fast paced Secretariat inbox is effectively organized and administration tasks are emails are actioned appropriately.
  • Supporting the team in proficient use of Microsoft Teams and creating and maintaining a number of team checklists and planning tools in Excel.

 

Whilst we will try to be supportive of flexible working arrangements, this role is very busy supporting multiple Board Meetings, so the business requirements mean that the candidate may need to flex their working patterns at times to align with, and support, board meeting times and deadlines.

 

This role will include some travel to London, Scotland or other areas as needed to support the Board.

Person specification

Essential Criteria: 

  • An organised, proactive person with excellent attention to detail and capable of working in a fast paced environment (Lead Criteria).
  • Excellent communication skills, both verbal and written, which are appropriate for a range of stakeholders.
  • Able to keep track of multiple tasks to ensure all requirements are completed to deadline.
  • Proficient in the use of Excel software – able to use functions of Excel such as data sorting, validation and presentational formatting.
  • Good working knowledge of other applications such as MS Teams, Outlook and Word.

Desirable Criteria: 

  • Experience of working in governance, risk or assurance would be beneficial.
