This Army Welfare Service (AWS) post offers the opportunity to work in a role that supports the wellbeing of soldiers and their families. AWS is the Army’s professional welfare provider, delivering a comprehensive and confidential welfare service adaptable to the needs of individuals and families and the Chain of Command. We deliver Personal Support (PS) providing confidential and professional specialist welfare, and Community Support (CS) providing youth and community projects, and activities for children and young people. The Joint Army & Navy Information System (JANIS) Manager works within the PS business area.

This is a fixed term appointment for an initial period of 2 years.

This is a Fixed-term Appointment as a Army Welfare Service – Joint Army Navy Information System (JANIS) Manager – ALdershot in the MOD- Army. Your responsibilities will be as described in this job advert. . This post will therefore begin on your appointment and end 2 years after that date 

If you are a permanent MoD civil servant and are found successful for an internally advertised Fixed-term Appointment (FTA) you should move into the post under a Temporary Transfer (for up to a maximum of 23 months). At the end of the posting you will return to your previous MoD Business area. If this posting is at a higher grade, your promotion will be temporary, and you will return to your substantive grade at the end of the Temporary Transfer. If a Temporary Transfer cannot be agreed between all parties then a transfer on an FTA contract is possible, read the FTA and Change of Work Location in the UK policy for further information.

Job description

The JANIS Manager is responsible to the Head of Personal Support for the management of the electronic case file Joint Army Navy Information System (JANIS). This involves overseeing data collection, planning and monitoring of projects, ensuring project milestones are met, that solutions are fully tested and robust training plans are in place. The role ensures compliance, continuous improvement and continuity of JANIS and that those using the system are appropriately trained. A main feature of this role is to undertake a pilot trial for the integration of Unit welfare level casework records onto JANIS.

Person specification

The post holder should have excellent attention to detail with a high level of administrative skills and the ability to work without supervision as part of a wider AWS team

Key Responsibilities are:

  1. Have overarching responsibility for the effective use of the JANIS system, as the AWS, Royal Navy Family and People Support (RNFPS) and Unit level welfare casework management information system, ensuring that usage is in accordance with relevant policy.
  2. Identify JANIS training requirements and liaise with the AWS Training Officer to ensure all users are appropriately trained.
  3. Monitor JANIS usage seeking opportunities to enhance the system in partnership with welfare users and Army Digital Department.
  4. Facilitate, in collaboration with the AWS Information Manager, Head PS and wider PS management, JANIS audits to ensure usage is in accordance with Data Protection requirements, Computer Misuse Act and wider policy requirements.
  5. Develop project plans, clearly outlining achievements, risks and outcome measures
  6. Lead on the delivery of assigned projects, working alongside clinical specialists and other colleagues to secure successful outcomes.
  7. Ensure project outputs are of high quality and produced on time and within budget, in line with project plans.
  8. Manage, identify and assess the main priorities and risks associated with projects including the development of contingency plans, managing expectations and any conflicting priorities.
  9. Proactively monitor progress, issues and risks for projects which the post-holder is leading on, using judgement to take corrective and mitigating action where necessary
  10. Provide regular feedback and update reports on progress, issues and risks to senior collaborators
  11. Travel as required to undertake duties.
  12. Work within appropriate MOD policies and procedures, AWS Standard Operating Instructions and within the Army Code of Confidentiality.
  13. Undertake Line Management duties as required.
  14. Undertake additional duties, within the terms and conditions appropriate to the grade, which are emerging tasks as the post becomes established and while monitoring the JANIS pilot (integration of Unit level casework records) as it progresses.
